| Decision | Direct thermal | Thermal transfer |
|---|---|---|
| Consumables | Suitable heat-sensitive labels or paper | Compatible labels plus a transfer ribbon |
| What to assess | Exposure to heat and light, and how long the label must remain readable | Label material, ribbon formulation and the required resistance |
| Printer check | Confirm direct thermal support and the actual media dimensions | Confirm ribbon capacity, winding direction and supported media |
| Quote comparison | Printer, labels, cables and any required software | Printer, labels, matched ribbon, cables and any required software |
Start with the life of the label
Write down where the label will be used: a dispatch carton, retail item, storage bin or equipment asset. Tell the supplier how long it must remain readable and whether it will encounter sunlight, heat, moisture, rubbing or cleaning products. A printing method alone does not establish that a finished label is suitable. Test the actual label on the intended surface.
Measure the whole media setup
Share label width and height in millimetres, roll core size, outside diameter and a sample of the backing. For thermal transfer, include ribbon width, length and winding direction if known. Printable width is different from the overall label width. Check both against the proposed model, especially when replacing an existing printer.
Describe normal and peak demand
Give the number of labels per day and the largest batch. Explain whether one person prints occasionally or several workstations depend on a shared printer. Ask the supplier to assess the workload rather than selecting only from advertised maximum speed. Include the smallest text and barcode in a sample design so print quality can be evaluated.
Check the complete connection
Name the computer operating system, label application and required USB or network connection. A connection listed for a product family may be optional or belong to another model. Put the full model, installed interface, cables, software licence and consumables in the quotation. Confirm availability, warranty and freight separately.
Your enquiry checklist
- Label sample, material, width and height
- Label lifetime, surface and exposure conditions
- Labels per day and largest batch
- Computer, software and connection
- Printer quantity, delivery city and PIN code
