Scanning & data capture

How to Choose a Barcode Scanner for Your Business

Choose a barcode scanner by the codes and workflow it must handle. Start with real barcode samples, the scanning distance and the device receiving the data. Then confirm the exact scanner model, connection and accessory kit; a family name alone is not a complete specification.

Send samples before choosing a model

A barcode's format is only the start. Photograph or provide representative labels, including the smallest code, curved packaging and any poor-quality print normally encountered. State the closest and farthest working distances. For QR or Data Matrix, verify 2D support for the exact model. For marks on components, request an application-specific assessment rather than assuming a general retail scanner is suitable.

Treat screen reading as a separate requirement

If staff scan coupons or tickets from phones, include that in the enquiry and test a representative screen. Do not use 1D versus 2D as a shortcut for screen compatibility: some linear imagers support mobile barcodes. Zebra's scanner range distinguishes linear and 1D/2D models, so the named model and its documentation matter.

Choose the kit around the workstation

For a fixed billing counter, note where a cable would run and whether a stand is needed. For a cordless workflow, explain where the operator walks and where the unit can charge. Ask the quotation to identify the scanner, host cable, cradle or stand and charging components separately. Do not assume that every accessory shown in a photograph is included.

Test the scan inside your software

A successful beep is not the complete workflow. Check that the right value reaches the intended field, leading zeros remain intact and any required Enter or Tab behaviour works. Test several codes in the actual application. Confirm the connection supported by the computer or POS device before buying multiple units.

Your enquiry checklist

  • Real code samples and approximate code size
  • Paper, screen or marked-part requirement
  • Normal working distance and operator movement
  • Software, host device and required connection
  • Scanner quantity, accessory kit and delivery PIN code

Manufacturer references describe technology or models; they do not confirm the supplied configuration or seller terms.

Your questions, answered.

Does a 1D scanner also read QR codes?

A 1D-only scanner should not be selected for QR codes. Check for QR support in the exact model's supported 2D symbologies. For example, Zebra lists QR in the DS2208 reference guide.

Does cordless mean it works with every phone or POS system?

No. Confirm the supported host, connection method and application requirements. A cordless label alone does not establish compatibility with your setup.

How should I test a scanner before ordering several units?

Use the actual barcode types, sizes, surfaces and working distances from your operation. Include phone-screen codes if relevant and test inside the receiving application. Check how the operator holds or presents items, how data enters the correct field and what happens after repeated scans.

Is the highest advertised scan speed always the best choice?

Choose around the complete task, including locating the code, handling the item and receiving the result in the application. A speed figure alone does not establish performance on your labels or workflow. Compare suitable models using the same representative samples and workstation conditions.

What information helps investigate incorrect scanned data?

Record the barcode sample, expected value, actual received value, scanner model and host application. Note any prefixes, suffixes or field movement required by the workflow. Use a representative test code and check the scanner output separately from the application's formatting before changing settings.
