Barcode & RFID Quotation Checklist for Indian Businesses

A useful quotation starts with the application, exact model or required function, quantity and delivery location. Add compatibility and accessory requirements so the supplier can quote the complete setup. Price, availability, freight and warranty should be confirmed in writing for that configuration.

For a replacement, identify the installed unit

Share the full model and part number from the device label. Add photos of connectors and the consumables currently used. Explain what must stay compatible, such as an existing label template, scanner cable or business application. A similar product name is not enough to establish that a replacement will work.

Compare the same scope

Ask each quotation to list the device, accessories, consumables, software and any setup or training separately. Record quantities and check whether taxes and freight are included. Compare payment terms, quotation validity and delivery estimates on the same basis. Do not assume that a catalogue image or brochure establishes the supplied kit.

Give the delivery location early

Trackfins India handles enquiries across India from its Ghaziabad base, with a focus on Delhi-NCR. Include your delivery city and six-digit PIN code. Ask for availability and freight for that destination; a national supply area does not mean every product is in stock or has the same delivery time.

Keep operational acceptance clear

For a new setup, describe what success looks like: labels that fit your artwork, codes entered correctly in your software, or an RFID read in the intended working area. Ask how a representative sample or demonstration can be assessed. Confirm support arrangements, warranty inclusions and exclusions, and who will configure the system.

Review before sending

Use the website's quote list for multiple products and prepare the enquiry on the contact page. Check the complete message, then continue to WhatsApp and press Send there. The website prepares the message; it cannot confirm delivery or reading. You can attach product photos in WhatsApp after opening the conversation.

Prepare your enquiry

Your questions, answered.

Can I request a quote without knowing the model?

Yes. Describe the task, current equipment, sample labels or codes and expected workload. The model and final configuration can then be confirmed in the quotation.

Does Review enquiry send my requirements?

No. It prepares a message for review. Continue to WhatsApp and press Send there. The website does not confirm whether a message was delivered or read.

How do I compare quotations that include different accessories?

Create one requirements list and ask each quotation to identify the model, interface, cables, power supply, charging equipment and consumables included. List software, installation, taxes and shipping separately where applicable. Compare the complete agreed scope and note missing items before comparing the final amount.

What should I confirm if an alternative model is proposed?

Request the exact alternative model and configuration, then compare the requirements that matter to your workflow. Check media, scanning, software and accessory compatibility as applicable. Ask for any differences to be explained before accepting the substitute; a similar product name is not enough.

Should installation, training and ongoing support be included in the quotation?

State which services you need and ask whether each is included, optional or unavailable. Clarify scope, delivery method, charges and responsibilities before placing an order. Do not assume that purchasing the hardware or software includes setup, operator training or an ongoing support arrangement.
